1. Bookings
  • Confirmation: All bookings, along with any changes or amendments, must be confirmed through email or text message. This ensures that both parties have a clear record of the booking details.
  • Deposits: We may require a deposit of up to 100% of the fare at the time of booking to secure your reservation. This is essential for the preparation and allocation of resources for your flight. 
  • Passenger Numbers: Minimum passenger numbers apply for each flight. The operator reserves the right to adjust passenger loadings or group flights at their discretion to maintain operational efficiency.
  • Transaction Fees: Please note that a 1% surcharge applies to all payments made via EFTPOS
2. Cancellations and Refunds
  • Cancellation Policy: Cancellations made within 48 hours of the scheduled departure time may result in charges of up to 100% of the listed fare. This policy reflects the costs incurred in preparing your flight.
  • Weather-Related Cancellations: In the event that a flight is canceled due to adverse weather conditions, we will work with you to reschedule your trip at the earliest opportunity. If rescheduling is not possible, a full refund will be provided.
  • Pre-Booked Expenses: Passengers are responsible for covering any non-refundable expenses associated with their trip, such as accommodation or tour bookings, if the flight is canceled for any reason.
  • Hardship Exceptions: For cancellations due to personal hardship, such as illness, a doctor’s certificate must be provided to support any refund requests.
  • Travel Insurance: We strongly encourage all passengers to obtain comprehensive travel insurance prior to booking. This can help cover unforeseen circumstances that may result in cancellations or delays.
3. Limitations and Operational Adjustments
  • Weight Restrictions: For safety and operational reasons, flights may be subject to weight limitations. This can affect individual passengers or group bookings.
  • Passenger Numbers and Pricing: The company reserves the right to adjust passenger numbers, schedules, or fares without prior notice.
  • Aircraft Availability: Flight options and associated costs may vary based on aircraft availability at the time of booking.
  • Route and Schedule Modifications: Flight routes and schedules are subject to change without notice, at the discretion of the pilot or for operational requirements. Safety remains our top priority.
  • Delays and Costs: Apollo Bay Aviation is not liable for any costs incurred by passengers as a result of delays or changes in the tour schedule, including weather-related disruptions.
  • Overnight Stays: If unforeseen delays necessitate overnight accommodation, the associated costs will be the responsibility of the passenger.
  • Gift Certificates: Gift certificates are valid for 12 months from the date of purchase. After this period, reactivation is possible for a fee of 25% of the certificate value.
